Who we are

RunThrough Australia is a trading name of GW Active Ltd, Unit 101/102 Image Court, 328-334 Molesey Road, Walton-on-Thames, Surrey, KT12 3PD, United Kingdom. GW Active Ltd decides how the personal information described in this policy is used and is responsible for it. RunThrough Australia organises running events in Australia and is part of RunThrough, one of the world’s largest running events organisers. This policy explains what personal information we collect, how we use it and the choices you have, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and, because we are a UK company, the UK GDPR.

Information we collect

• Race entries: name, email address, phone number, date of birth, gender, emergency contact and any medical details you choose to share, collected by our entry partner Let’s Do This when you register.
• Newsletter sign-ups: your name and email address.
• Payments: processed by our third-party payment providers. We never see or store your full card details.
• Website usage: pages visited, device and browser information, collected only with your consent through analytics cookies.
• Race day: your bib number, chip-timed results and photographs taken on the course.

How we use it

• To process your entry and deliver the event you signed up for.
• To send you race information before, during and after the event.
• To publish results and race photographs.
• To send marketing about future events, only where you have opted in.
• To improve our website and events.
• To meet our legal and safety obligations.

Who we share it with

We share information only where it is needed to deliver the event: entry and timing platforms, email and payment providers, and medical and safety partners on race day. RunThrough Australia is part of the GW Active Ltd group, and your details may be shared with other RunThrough brands where that is necessary to run the event or support you. We do not sell your personal information.

Overseas disclosure

GW Active Ltd is based in the United Kingdom, and some of our providers (our entry platform, email and analytics services) store data in the United Kingdom, the European Economic Area and the United States. Where your information leaves Australia we take reasonable steps to make sure it is handled in a way consistent with the Australian Privacy Principles, including contractual protections with our providers.

How long we keep it

• Entry data: up to seven years, to meet legal and insurance requirements.
• Marketing contacts: until you unsubscribe.
• Analytics data: a maximum of 26 months.

Your rights

You can ask us to access or correct the personal information we hold about you, ask us to delete it where we no longer need it, and withdraw marketing consent at any time. Email info@runthrough.co.uk and we will respond within 30 days.

Complaints

If you believe we have mishandled your personal information, contact us first and we will investigate and reply within 30 days. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner (oaic.gov.au) or, for our UK obligations, the Information Commissioner’s Office (ico.org.uk).
